Who we are
Pixel Pulse Digital (trading as PixelPulse or Pixel Pulse Digital SA) is the responsible party for the personal information described in this policy. We are based at Block 80 Unit 1, Riverside View Ext 67, Fourways, Johannesburg, Gauteng 2191, South Africa, and can be reached at info@pixelpulse.co.za. This policy explains how we collect, use, share, and protect personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Information Officer
Our Information Officer is Kholofelo Maja, Co-Founder. Under POPIA the Information Officer is accountable for how we handle personal information, and is the person to contact about anything in this policy. Information we collect
When you contact us through our website, chat with Pulse (our AI assistant), or correspond with us by email or WhatsApp, we may collect your name, email address, phone or WhatsApp number, details about your project or enquiry, your budget range, and anything else you choose to share with us. When you browse our website, our hosting provider and services such as Google reCAPTCHA, Google Fonts, and DesignRush (which displays our client reviews) may automatically collect standard technical information, including your IP address, browser type, device type, and pages visited.
If you use our project cost calculator, we collect your name, business name, WhatsApp number and email address, together with the project scope you selected, the estimate it produced, and a record of the consent you gave before submitting. We also record the page you came from and any campaign tags on the link, so we know which advert or referral brought you to us.
How we use your information
We use the personal information we collect to respond to your enquiry, prepare quotes and proposals, deliver the services you've engaged us for, send you information you've requested such as a discovery-call booking link, and, where you've agreed to it, contact you about relevant services in future. We process your information because it's necessary to take steps at your request before entering into an agreement, to perform a contract with you, or because we have a legitimate business interest in responding to enquiries, always within the limits POPIA allows.
Our lawful basis
POPIA requires us to have a lawful basis for every use of your information. Preparing a quote for you, and delivering a project you have signed off, are both necessary to a contract with you or to steps taken at your request before one. Invoicing and keeping accounting records are legal obligations. Replying to an enquiry rests on your consent and on our legitimate interest in answering people who contact us. Marketing rests on your consent alone, and you can withdraw it at any time.
Pulse, our AI chatbot
Conversations with Pulse are processed using Groq's AI infrastructure to generate a response. If you share your name, email, phone number, or budget with Pulse, that information is handled the same way as information submitted through our contact form, as described in this policy. Please avoid sharing sensitive personal information, such as ID numbers, banking details, or health information, in the chat window.
Who we share your information with
We share personal information with trusted service providers who help us run our business, including Make.com (workflow automation), Google Sheets and Airtable (record keeping), HubSpot (meeting scheduling and follow-up emails), ClickUp and Slack (internal project and task management), Groq and Anthropic (AI processing for the Pulse chatbot and for summarising enquiries), Netlify (website hosting), Zoho (invoicing and accounting), PayFast (payment processing), and Meta and UltraMsg (sending and receiving WhatsApp messages). These providers only process your information on our instruction and for the purposes described here. We do not sell your personal information. Some providers may store or process information outside South Africa; where that happens, we take reasonable steps to ensure it receives a comparable level of protection, as POPIA requires.
Sending information outside South Africa
Several of the providers above process data outside South Africa. Make.com processes in the European Union. Airtable, Slack, ClickUp, Netlify, Groq and Anthropic process in the United States. Zoho processes in the European Union and India. Meta and UltraMsg, which carry our WhatsApp messages, process in the United States and Israel. PayFast processes in South Africa.
Section 72 of POPIA permits these transfers. Each provider is bound by a written agreement requiring protection upholding principles substantially similar to POPIA, including restrictions on onward transfer, and in most cases the transfer is also necessary to perform a contract with you or to take steps at your request before entering one. If you would rather we did not use a particular provider, tell us. Sometimes we can work around it, and where we cannot we will say so plainly rather than quietly proceed.
Cookies and similar technology
Our website uses Google Fonts to display text correctly and Google reCAPTCHA to protect our contact, lead-magnet, and newsletter forms from spam and abuse, both of which are strictly necessary and always on. With your consent, we also use Google Analytics to understand how visitors use our site, such as which pages are viewed and how long visitors stay, so we can improve it. Analytics cookies are off by default and only activate if you opt in below; we don't use advertising cookies. A short notice about this appears when you first visit our site, and you can revisit it at any time below.
How long we keep your information
We keep enquiry and client information for as long as reasonably necessary to respond to you, deliver our services, and meet our legal, tax, and accounting obligations, after which we securely delete or anonymise it.
In practice that means we keep enquiries and quotes that do not become projects for three years from our last contact, client project records and correspondence for five years after a project closes, invoices and accounting records for seven years as the Companies Act and tax legislation require, and Pulse conversations for twelve months. Where you have consented to marketing we keep the record of that consent for as long as you are subscribed, plus three years afterwards as evidence that it was given. When a period ends we delete the record or de-identify it so it can no longer be linked to you.
Keeping your information secure
We take reasonable technical and organisational measures to protect the personal information we hold from loss, misuse, or unauthorised access, in line with POPIA's security safeguard conditions. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
Our automated workflows are also built to fail closed. If something cannot be processed correctly it stops and alerts a person rather than guessing. No system is perfectly secure, and we will not pretend otherwise. If a compromise affects your personal information, section 22 of POPIA requires us to notify both you and the Information Regulator, and we will do so as soon as reasonably possible after establishing what happened.
Your rights
Under POPIA, you have the right to:
- Ask us to confirm what personal information we hold about you, and access it
- Ask us to correct or update inaccurate or outdated information
- Ask us to delete personal information we no longer have a lawful basis to hold
- Object to the processing of your personal information
- Withdraw any consent you've given us, at any time

Direct marketing
Section 69 of POPIA is strict about unsolicited electronic marketing, and we take it seriously. We only send marketing on WhatsApp or email to people who have actively agreed to receive it, for example by ticking the consent box on our cost calculator, and we record the date and time that agreement was given. Every marketing message identifies us and gives you a way to stop it; on WhatsApp, replying STOP is enough. We do not send marketing to contact details taken from third-party platforms or lead marketplaces. A reply to an enquiry you sent us, a quote you asked for, or a message about a project we are delivering, is not marketing, and you will still receive those.
Children
Our website and services are directed at businesses and adults. We do not knowingly collect personal information from children, as defined by POPIA, without the consent of a parent or guardian.
